Registration Policies
Guest Room Cancellation - Hotel cancellations must be made no later than 5 days in advance of your scheduled arrival date in order to receive a room deposit refund. ASA must receive your reservation and room deposit no later than March 3, 2000, in order to guarantee your room reservation. Reservations made after March 3, 2000, will be handled on a space and rate available basis.
Room Rates - Room rates are on a per night basis, king or double bed, The hotel cannot guarantee bed types (king or double). Room rates are $135 per night for Resort View, $156 per night for Bay View. There is a 11% resort fee and tax on each room per night. Room categories, non-smoking rooms and size bed request will be handled on space and rate available basis. Check in time is 4:00 p.m. Check out time is noon. Hotel reservations should be sent to the Automotive Service Association meetings department on the official form. The hotel will not accept reservations directly. However, you should receive a confirmation of your reservation from the hotel. ASA will acknowledge receipt of your hotel and meeting registration form. ALL CHANGES should be made through the ASA meetings department.
Registration Cancellation Policies - A 75% convention registration refund will be given if cancellation is received in writing postmarked by March 3, 2000. Any written cancellations postmarked after March 3, 2000, and before April 1, 2000, will be given a 50% refund. No refunds are possible after April 1, 2000. All refunds will be processed after the Annual Convention. A 5% processing fee will be applied to all refunds.
Registration Specifics - ASA Member, ASA Spouse, ASA Employee, Guest, Non-Member, Non-Member Spouse and Non-Member Employee full registration fee includes: Welcome Party, General Sessions, Awards/ Graduate Dinner, Ascettes Meeting, Division Meetings, Board Meeting, Affiliate Assembly Meeting, Seminars, Seminar Materials, Refreshment Breaks and Chairman's Reception and Banquet. Additional function tickets will be available to guests of full paid convention registration attendees only. Beside each badge name on the registration form is a number. Use this number to specify who is attending which function listed on the form.
Special Services - Check the space provided on the front of this form if you require special services to attend the ASA Annual Convention (i.e, special room accommodations, food/beverage, etc.).
Attire - Business or resort casual is appropriate for all functions and is accepted in all hotel restaurants during the day. Evening attire requires coat and tie for gentlemen and appropriate attire for ladies at some restaurants. The Chairman's Reception and Banquet on Saturday is semi-formal, black tie optional. The hotel public areas may be cool, it is suggested that you bring a light jacket or sweater for your comfort.
Air Travel - DFW Travel will be happy to handle all your travel needs. Call (817) 267-3535 Monday through Friday and identify yourself as an ASA attendee to receive the best fares available. DFW Travel has negotiated special discounted fares with Delta Airlines for the ASA Annual Convention. However, other airlines will be compared for lowest fares available. No fare is guaranteed until ticketed and is subject to applicable taxes and restrictions. For best rates, airline tickets should be purchased as early as possible. If contacting Delta Airlines directly, you should call their Meeting Network Reservations at (800) 241-6760, or have your travel agent call Delta. To obtain all applicable convention discounts, refer to file number 131318A when purchasing your tickets.
Ground Transportation - Shuttle service to the ASA Annual Convention from the Mobile and Pensacola airports is available. To register, simply complete the "Transportation" section of the attached registration form. If you're interested in renting a car, ASA has negotiated a special convention rate with Budget Car Rental. Take advantage of this special by calling Budget toll-free at (800) 772-3773. Refer to file number U059927 when calling Budget, DFW Travel, or your travel agent.
Directions - From the Mobile airport: Turn east on Airport Blvd. Take I-65 South to I-10 East. Take I-10 East to Hwy 98, exit 35. Take Hwy. 98 East to Alt. 98. Take Alt. 98 to Scenic 98 in Fairhope, Ala. Then, follow the signs to Marriott's Grand Hotel. From the Pensacola airport: Take I-10 West to Hwy 98, exit 35. Take Hwy. 98 East to Alt. 98. Take Alt. 98 to Scenic 98 in Fairhope, Ala. Then, follow the signs to Marriott's Grand Hotel.
Local Point Clear Weather - In April the average low is 57 degrees, the average high is in the upper 70s. Evenings on the coast may be damp, so a light jacket or sweater is suggested.
